From the first registration link to the final report: a tour of our event tech

Every event has two unforgettable moments: the first minute a visitor stands at the registration gate, and the last minute they leave the hall. Between them runs a long chain of technical details that either flow smoothly and go unnoticed, or stumble and become everyone's story. That is why we built an integrated suite of systems that manages the event journey from the first registration link to the final report - systems we run on our own events first, so what we offer clients is field-tested, not slide-tested.

Before the event: planning you can see

The journey starts with the registration and ticketing platform: a registration page carrying your event identity - your logos on top, your sponsors' at the bottom - in Arabic and English, with custom fields and ticket types, and payment on site, by transfer, or online. Every registrant receives an email with a QR badge.

Behind the scenes, the management systems take over: floor planning draws the exhibition map and colours booked versus available, booth and exhibitor booking turns the map into contracts and collection, sponsorship management tracks each sponsor's payments and entitlements, teams and committees assigns tasks before show days, while project and event management gathers it all into one live dashboard.

Opening morning: seconds, not minutes

At the gate, the badging and access system takes over: pre-registered visitors show the QR code from their email, their data is pulled, their badge printed, and attendance logged in seconds; walk-ins type a name and phone and their badge comes out instantly. More than six operators work simultaneously without conflict, and the badge designer offers drag-and-drop editing on standard print sizes.

Behind the welcome desk, the numbers board shows live attendance on the big screen and rotates automatically between welcome, sessions, halls, speakers and sponsor screens with transitions the organiser controls.

During the event: the experience in every pocket

At the moment of registration, every visitor receives a link to the attendee app - a web app that opens from the browser with no stores and no installs: the agenda, speakers and halls, a personal schedule built by starring sessions, instant alerts when a hall changes or a session runs late, plus the event map, files, guides, and a permanent entry badge.

When the organiser opens polls and surveys, the audience votes from their seats and results appear live with animated counters on the big screen. Live streaming carries the sessions to those who could not attend in person.

After closing: the data is yours

The event ends; its value does not. The registrant and attendance database exports in one click to Excel files and print-ready PDF reports - attendance rates, collected and outstanding payments, and every custom field you added. We are a data processor, not an owner, and hosting stays inside the Kingdom in line with data classification requirements.
